1. Notice of Record Retention Regulation (excerpt from: Texas A&M University System Regulation 61.99.01, Retention and Disposition of Public Records. Visit Web site http://sago.tamu.edu/policy/61-99-01.htm)
Records Management Statutes: Texas Statutes which established the State and Local Records Management Division (SLRMD) of the Texas State Library require all agencies and institutions of the State to:
(1) make and maintain records documenting the organization, functions, policies, decisions, procedures, and essential transactions of the agency institution;
(2) establish and maintain an active, continuing program for the economical and efficient management of the records of the agency or institution;
(3) submit to the Director, SLRMD of the State Library, schedules proposing the length of time each State record series should be retained for administrative, legal, historical or fiscal purposes; and
(4) appoint an employee performing other administrative duties to act as records management officer, and, in that role, to comply with the rules, standards, and procedures issued by the SLRMD.
Texas A&M University System and Texas A&M University Records schedule can be obtained at http://library.tamu.edu./records or email rmdesk@lib-gw.tamu.edu or by calling 979-458-1470.
CIS software development customers are encouraged to contact the appropriate record officer(s) with regard to any records retention and disposition issues or interpretations, particularly those associated with the archiving/purging of records by automated systems under development
If desired, records older than the retention period may be removed from the system. There are not time requirements for removing out-of-date information from the system. However, records kept in the database beyond their useful life may degrade system performance and consume otherwise useful disk space unnecessarily.
