Documents

The Documents feature of Texas A&M University Email provides a central place to develop, organize, share, and publish information online.

This video tutorial will help you get started using documents in TAMU Email.

First, click the Documents tab.

Documents consist of notebooks with individual pages organized with a table of contents.

One default notebook has been created for you. You can add pages to this notebook, or you can create new notebooks and even set up notebooks within notebooks, like chapters in a book.

To start a new notebook, right-click on the Notebooks bar and select New Notebook.

Enter a name for the new notebook.

Then click OK. The new notebook appears in the Documents menu.

It's easy to create new pages to add content to your notebook.

Highlight your notebook, then click New on the toolbar.

You can use the default rich text editor to change formatting, styles, and colors.

Add links, tables, spreadsheets, images, and other files and even check the spelling on your page.

Now let's see how to share a notebook with others. Right-click on the notebook you want to share, then select Share Notebook.

You can share your notebook with other TAMU Email users or with external users (that's anyone who doesn't use TAMU Email), or you can even make your document completely public. When you share with external users, you set them up with a username (which is their email address) and a password that gives them access to your notebook.

You can also set permissions, allowing others to create and edit content or just view the pages.

Remember, only other TAMU Email users can be given permission to change content. People who aren't on the TAMU Email system are only allowed to view content.

You can choose to send a notification email to the user about sharing your notebook.

When a TAMU Email user receives your notification email, all they need to do to see your notebook is to click Accept Share in the email.

External users can click on the URL in the notification email, then enter the username and password that you provided.
